What is Kimai?
Kimai structures time records around customers, projects, and activities. Users record duration and context; administrators configure rates, teams, permissions, and budgets. Reports, exports, and invoice templates then turn the same records into material for operational review and billing.
Kimai is an open-source, multi-user time tracker for freelancers and organizations. It records project time and includes invoicing, reports, exports, configurable rates, and self-hosted deployment.
Core capabilities
- Track timers and timesheets by customer, project, activity, user, and tag
- Apply teams, roles, rates, and time or money budgets
- Create reports, exports, and invoices or integrate through a JSON API
Time with business context
Every timesheet can connect a user and duration to a customer, project, activity, description, and tags. Teams and roles constrain visibility, while rates and project budgets supply the financial context needed to turn a work log into a managed service record.

From records to billing
Searchable time records feed dashboards, reports, configurable exports, and invoice documents. Kimai can run on the user's own server or as a managed cloud service, and its plugin ecosystem and JSON API extend the standard workflow for specialized reporting or integration needs. The marketplace includes both free and paid plugins; extensions should not be assumed to be part of the standard installation.

Use cases
- 01
Capture project time consistently
Let team members run timers or enter timesheets against an allowed customer, project, and activity structure, with tags and descriptions supplying the context needed for later review.
- 02
Prepare billable work for invoicing
Apply configured rates to selected time records, filter the relevant period and client, and create an invoice or export without re-entering the work log.
- 03
Review capacity and project performance
Use project budgets and reports to compare recorded effort with commercial limits and planning needs. Evaluate additional workforce features against the relevant plugins.
